How to set up Client Portal on Salestrekker 2.0. How to share and revoke access to Client Portal.

Settings

Users can optimise the look and feel of the Client Portal using several options available in Settings > Account > Client Portal.

Each broker has the ability to customise their own client portal to best suit their clients.

Show deal status bar: Users can decide if clients can see the stages of the workflow in the dashboard section of the Client Portal.

Show Client Profile when Client logs in for the first time: If switched on, client will do the digital fact find before going to dashboard.

Privacy disclosure: This is compulsory, i.e. portal cannot be shared without this being set.

In order to provide the client with a Credit guide and privacy document, it is necessary to first create/upload the document in the deal and label it accordingly.


โ€‹Add dashboard video: Users can add video links for each stage of their workflows which clients will be able to see on the Client Portal dashboard.

Switch the toggle ON or click on 'Edit' button (pen icon), then select a workflow and add links to your YouTube or Vimeo hosted videos for the stages, lastly you can add a short description for each.

Add flow video: Users can also add video links for each created Client Portal Flow they have set up.

Switch the toggle ON or click on 'Edit' button (pen icon), then select a flow loan type.

You can add links to your YouTube or Vimeo hosted videos for all Client Profile pages and sections, along with a short description for each.

Based on the chosen Flow for sharing with the client, video links will only be accessible on the specific pages and sections within that flow.

Notifications

Users have the option to choose which notifications they would like their clients to receive and whether they should receive notifications as email, SMS, or both.

SMS notifications will use up organisation SMS credits.

Flows

Users can create various flows and customise their clients' journey by selecting sections and subsections of the fact find they would like to include on the Client Portal.

Click on "Add flow" button and select the flow type.

Name your new flow and select which sections and their subsections would you like to include in this flow.

Once created the flow can be selected when inviting the client to Client Portal.


Invite Client to Client Portal

Client Portal is used to collect data and documents from clients and to enable a simple platform to communicate with clients during their application process.

How to send the invite

Clients are invited to the portal form the 'Deal View' screen.

Simply click on 'Client Portal share' button located in the secondary side bar on the left side of the screen and click on the name of the client you wish to give the portal access to.

Deal must have a file with 'Credit guide' and 'Privacy disclosure' labels to enable sharing the Client Portal.

For New Zealand, these will be 'Acknowledgement and declaration', 'Adviser guide' and 'ROMA' documents and their labels.


In the next popup window on the right, select:

  1. If the client can see details from other applicants (Yes or No)

  2. A defined flow templates previously created in Client Portal Settings

  3. One or more required documents from the list (previously have to be added to the deal)

If you select 'Yes' to view details of other applicants, they will have access to view and upload the necessary documents that were selected for both applicants.

If you select 'No', each client to whom the portal is shared will only see their own details and required documents.

Lastly, click on the 'Invite' button in the bottom right corner.

A new deal Note will be created recording the invitation and also this will be shown on the Contacts section of the deal Overview, next to the name of the contact with whom the portal was shared.

Client will receive an email invite, containing the link to the Client Portal login page and a SMS with 6-digit passcode.

How to revoke access

It is important to know that client's access to their Client Portal will stay active until the access is manually revoked.

To un-invite client, simply click on the 'Client portal share' section in 'Deal View' again and confirm with 'Revoke' button in the pop-up window on the right.
