When creating a new deal for an existing contact, to link the existing person to this new deal, please search their first name and pick the correct contact from search results:
In case you have missed this step, and continued entering the contact details in the new deal (last name, phone, email address) you will duplicate the contact in the system, and your new deal will be connected to the new (duplicated) contact.
When creating new deals for existing contacts, we suggest the easier way of duplicating their previous deal. This way the contacts is the same and their details are already populated in the fact find.
If you delete the duplicate contact without transferring the deal, you will lose the deal altogether with that contact.
In order to safely remove the duplicate contact without losing the deal, please follow these steps:
Open the deal where the duplicate was created
Go to Broker Tools, from there open the contact’s personal details tab
Edit their name so it has the word “duplicate” in it
Wait a few min so the system can fully save and index the name change
Go back to Deal View
Open Edit Deal (green pen icon)
Delete the person’s first name and type it again
Wait for the search to load and show a drop down menu with results
Now pick the contact that doesn’t have the word “duplicate” in their name
Save
If you’ve completed the fact find for the duplicate contact in the deal, you will have to re-link the data to the original contact
You have now assigned the deal to the original contact. Repeat the process for all deals where the duplicate contact was added.
Once you have transferred all deals, you can safely remove the duplicated (renamed) contact from system.
