How to import data. Import deals, contacts, notes, tasks.

General Information

Import is restricted to organization owners. Aggregator enterprise users are required to contact their aggregator representatives for import requests.

If you are importing a sizeable amount of data, our team can offer you assistance with the complete import process for a fee.

You can import four different types of data:

• Deals
• Contacts
• Notes
• Tasks

• Users (available for organization owners only)

In order to import data, you will need to have a CSV file with information you wish to transfer to Salestrekker.

Importing deals automatically creates contact profiles for the clients of the imported deals.

In order to import notes and tasks, the deals and contacts must me imported or created beforehand.


Preparing the import file

Preparing files for import is making sure data integrity is fine for all fields. This is typically the longest part of the job.

For example, phone number needs a prefix in front of the number. Eg. for AU numbers, they should look like '610499999999' or '61499999999'.

If your phone numbers don't have a prefix, create a new column with a prefix entered and then merge two numbers into a new column using &""& function in excel.

Similarly, deal owner name and stage name need to be exactly as they are in Salestrekker. The easiest thing is to copy and paste from Salestrekker.

Make sure that column headers contain an appropriate description of the column contents.

Importing files

To perform an import, go to Settings > Import Data. Next, select which type of data you wish to import (Deals & Contacts, Notes, Tasks or Users )

To import Deals and/or Contacts, you are required to select the workflow where deals should be imported. Notes and tasks on the other hand, will automatically be added to deals you've assigned them to via the 'Deal Name' header in the import file.

After you have uploaded the CSV file and if you didn't prepare the file with automapping column headers, you will have to connect CSV headers with the Salestrekker field which should receive the data.

E.g. if header contains family name of primary client, connect it to Person 1 > Personal Details > Surname.

When you connect all headers with merge fields, click 'Preview and Finish' button on the bottom of the page.

Next screen will provide a review of data connections, and if everything is ok, you can click 'Import' button.

Duration of the process (transferring data) will depend on the amount of data in your CSV file, but once it is finished you will receive a confirmation email. 


Minimum required fields for import

For Deals

  • deal title

    • header: Deal - Basic information - Title

  • deal owner

    • header: Deal - Basic Information - Owner

  • at least one client full name, or name and surname

    • headers:

      • Person 1 (or 2,3,4,5) - Personal details - Full name -OR-

      • Person 1 (or 2,3,4,5) - Personal details - First name -AND-

      • Person 1 (or 2,3,4,5) - Personal details - Surname -OR-

      • Company - Company details - Entity name

For Contacts

  • client full name (same headers as above for deals)

  • contact owner

    • header: Person 1 - Personal Details - Contact Owner

For Notes

  • deal name

    • header: Note - Basic information - Deal title

  • note content

    • header: Note - Basic information - Content

  • note owner

    • header: Note - Basic Information - Content

  • date created

    • header: Note - Basic Information - Date Created

For Taks

  • deal name

    • header: Task - Basic Information - Deal Title

  • task assigned to

    • header: Task - Basic information - Assigned to

  • due date

    • header: Task - Basic information - Due date

  • task name

    • header: Task - Basic Information - Title

For Users

  • first name

  • surname

  • email address

Automation will not be triggered when importing data.

Imported data can be reverted only in the first 48 hours after the import is completed.
