Access Referrals
Access referrals allows for deal(s) and contact(s) to be exchanged by different Salestrekker organisations.
For it to be operational, access referrals need to be set up by both referring and receiving organizations.
Access referrals can also be used to receive the data via 3rd party websites and/or applications. All inbound referrals include Web Form code which can be easily embedded to any existing website.
While single inbound access can be utilised by multiple referrers, it is safer to define separate inbound access for each referrer. Disabling inbound access utilised by multiple referrers would disable referrals for all of them.
Access Referrals is located in Settings > Integrations section.
Inbound - Receive Referrals
How to setup
Go to Settings > Integrations section > Access referrals. Once there, click the 'Add new' button in top right corner and choose 'Inbound - receive referrals' option.
Next, complete the required information for creating a new inbound referral.
To confirm the creation of the new inbound referral, click the bottom green 'Add' button.
Your new inbound referral will be listed under the 'Inbound - Receive Referrals' section:
Get the Referral key and URL
Clicking the 'Actions' button (three dots icon) will give you the option to Edit or Delete the referral.
If you choose the Edit option, you will have the option to copy the Referral key and URL.
Please be aware that deleting an existing referral will permanently remove it and this action cannot be undone.
How to use
By sharing the Referral key and URL from your inbound referrals with an external organisation that will be configuring an outbound referral setup, you will establish a connection between the two for data transfer.
Outbound - Send Referrals
How to setup
Go to Settings > Integrations section > Access referrals. Once there, click the 'Add new' button in top right corner and choose 'Outbound - send referrals' option.
Next, complete the required information for creating a new outbound referral.
The Referral Key and URL are provided by the organisation that has configured the inbound referral setup.
Please reach out to the administrator of that organisation to obtain the Referral Key and URL.
To confirm the creation of the new outbound referral, click the bottom green 'Add' button.
Your new outbound referral will be listed under the 'Outbound - Send Referrals' section:
Clicking the 'Actions' button (three dots icon) will give you the option to Edit or Delete the referral.
If you choose the Edit option, you will have the option to edit the Referral key and URL.
How to use
After setting up your new outbound referral, navigate to the deal you want to refer to an external Salestrekker organisation.
Please note that deal deal must be in the Workflow and Stage you've selected for the outbound referral.
When you are in the deal view page, choose the 'Refer deal' option from the left side deal menu:
This will open a page where you pick the outbound referral and confirm with the 'Save' button.
Finally, you will see a warning pop-up, letting you know that referring your deal will transfer all of it's client(s), contact(s) and deal data to the external org - a 3rd party information system(s). This process cannot be undone nor reversed. Privacy document needs to clearly state that client’s information is shared with the party receiving inbound referral.
If you approve this transfer, click the 'Proceed' button.
This action will be recorded in a new deal note in both deals (original and referred).
Deal Owner in inbound organisation will be either the original deal owner from outbound organisation (if they exist in the inbound organisation as a user) or Workflow Owner in the inbound organisation.
Web Form
How to setup
Salestrekker offers a feature that allows you to generate webform code, which can be embedded on your website to automatically add new leads to your CRM.
To generate a webform code in Salestrekker, go to Settings > Integrations section > Access Referrals, then click on the 'Add new' button and finally select the 'Inbound - web form' option.
Next, complete the required information (in red).
All fields in red are required to complete the setup of a new web form referral.
Among the requirements is the color picker.
When done, confirm by clicking the 'Save' button.
Your new inbound web form referral will be listed under the 'Inbound - Web Form' section':
Clicking the 'Actions' button (three dots icon) will give you the option to Edit, Copy Link or Delete the referral.
If you choose the Edit option, you will have the option to edit the web form settings.
Please note that editing an existing inbound webform will change its code.
Consequently, if you have already implemented the previous frame code on your website, you will need to update it with the new code.
How to use
The simplest approach is to send or email the code to the person who designed your website.
If your site uses a basic CMS (such as WordPress or a similar platform) and you are comfortable editing it yourself, simply log into your CMS, locate the section where the webform should be placed, and insert the code there.
The code is copied from the 'Actions' menu > 'Copy link' option in the web form settings.
