General Information
Custom fields are a feature for extra information that are relevant to your deals and cannot be entered in any default, pre-defined field or section of a deal.
Creating custom fields
The option to add and a new custom field is available under Settings > Custom Fields tab.
Please note that only users with admin privileges can add or manage custom fields in Settings.
There are several types of custom fields that you can add:
Text short
Text large
Options multiple
Options single
Number
Money
Phone
For the Options fields (multiple and single), you would enter one option per line in the editor window.
Editing an existing custom field
Please note that editing any existing custom field in settings will result in the system recreating that field as a new one, which in turn will remove the previous link for that field for reports and merge.
Meaning, if the field was edited and saved (even in the case no changes made to the field in settings, but "Save" button was clicked instead of "Cancel") reports and merge will no longer pull details for that custom field going forward.
Editing existing custom fields in Settings will result in changing how they work in deals.
Further on, you will find specific situations and examples for how certain changes affect existing custom fields.
If that field was empty in deals (no value added prior to edit in Settings) > the changes you made will update the field in those deals.
Example:
You have created a multiple options custom field
You now see this custom field in your deal but made no selection on the options listed
You go back to Settings and edit the field to have one more option for selection
When you go back to the deal this change will be visible
If the field was populated in deals (any value added or selection made prior to edit in Settings) > the changes you made will not apply to that field.
Example:
You have created a multiple options custom field
You now see this custom field in your deal and selected a couple of options listed there
You go back to Settings and edit the field to have one more option for selection
When you go back to the deal this change will not be visible - the changes will not apply to that field
Every changes made to an existing custom field in Settings will result in the merge key associated with that custom field to also change.
Example:
Merge key for your custom field is {deal.customFieldOptionsMultiple10}
After you make any changes for that field in Settings there will be a new merge key created > {deal.customFieldOptionsMultiple11}
In cases where that merge key is used for an automated email or document template, please be sure to replace the key with the updated one. More on merge keys here.
